The Tourism Product Development Company Ltd. (TPDCo.) is seeking to identify a qualified, motivated and
result-oriented professional to fill the following position:

Administrative Assistant 2 – Product Quality -Kingston

Under the direction of the Craft Development Coordinator, the Administrative Assistant 2 provides
administrative support to the Craft Coordinator and the Craft Development Unit as well as to administer the
work of the department such as budget controls, information gathering and disbursement.

KEY RESPONSIBILITIES
• Oversees and performs a range of diverse administrative activities for the department which serves as a
central point of liaison with other departments and external constituencies in the resolution of a variety
of day-to-day matters concerning the department;
• Record minutes of meetings and distribute in a timely manner;
• Schedule appointments; maintain calendars; meeting coordination and travel arrangements for the Craft
Coordinator and the Department;
• Establish, maintain and review filing system – retrieve files and photo copy documents as requested;
• Preparation of interim monthly, quarterly and yearly reports;
• Attend to incoming and outgoing correspondence; take appropriate follow up actions;
• Maintain adequate stock of stationery, craft supplies, training materials and equipment;
• Maintain a telephone directory of frequent called numbers and retrieve in a timely manner when
requested;
• Assist with the organization of seminars /workshops/and training programmes;
• Arrange meetings as directed including the preparation of meeting material, venues, refreshment and
any other input required;
• Prepare Purchase Requisitions and manage any procurement-related activity;
• Prepare agendas, itineraries for meetings and seminars;
• Draft and prepare documents and letters for the Craft Coordinator;
• Prepare agendas, itineraries for meetings and seminars;
• Assist with the preparation of budgets for the department;
• Maintain a data bank of craft traders and producers;
• Assist the Craft Co-ordinator in sourcing and purchasing of training materials for the respective
project/programme areas;
• Ensure that the petty cash is replenished in a timely manner; and
• Perform any other related functions assigned from time to time by Craft Coordinator.

KEY COMPETENCIES
• Good oral and written communication skill.
• Ability to be a team player.
• Proficient in computer programmes, e.g. Microsoft. Excel, Power Point and Access.
• Good typing skills.
• Good knowledge of the tourism sector.

DESIRED EDUCATION AND EXPERIENCE
• Diploma in Business Administration or equivalent
• Four CXC at the General Level including English Language
• Two (2) years’ experience as Administrative Assistant.
