The Tourism Product Development Company Ltd. (TPDCo.) is seeking to identify a qualified, motivated and result-oriented professional to fill the following position:

 

Administrative Assistant 2 – Licence Processing Unit-Kingston

 

Under the supervision of the Licence Processing and Registration Manager, the Administrative Assistant will provide administrative support to the Licence Processing Unit.

 

KEY RESPONSIBILITIES

· Generation of weekly, monthly, quarterly, annual and adhoc reports by the Licence Processing Unit;

· Schedule appointments; maintain calendars; meeting coordination and travel arrangements for the LPU Manager and the Department;

· Prepare Purchase Requisitions and manage any procurement-related activity;

· Assist with the preparation of letters to operators;

· Assist with research for legal matters;

· Maintaining legal files;

· To assist with the disbursement of Licences or any other document when required;

· To assist the Licence Processing Assistant and Administrative Officer (Contract Carriage and Craft) during the peak period of the processing of Contract Carriage applications;

· Receive Cheques for JTB Application from Licence Processing Officers and submit to Accounts for a Written Receipt;

· Ensure that Letters generated for submission to the JTB are signed by the Executive Director and presented to the JTB;

· To attend, record and prepare minutes of meetings in a timely manner;

· Maintain adequate stock of stationery; and

· Responds intelligently to official enquiries about the Unit and where necessary, refer these enquiries to the appropriate officers; and

· Perform miscellaneous job-related duties as assigned.

 

KEY COMPETENCIES

· Good oral and written communication skill.

· Ability to be a team player.

· Proficient in computer programmes, e.g. Microsoft. Excel, Power Point and Access.

· Good typing skills.

· Good knowledge of the tourism sector.

 

DESIRED EDUCATION AND EXPERIENCE

· Diploma in Business Administration or equivalent

· Four CXC at the General Level including English Language

· Two (2) years’ experience as Administrative Assistant.
